Role Overview:

The Administratrive Assistant supports the IMI Denver site by managing office logistics, coordinating meetings and supplies, administering travel and expense systems, and supporting employee onboarding through badge access, travel arrangements, and parking setup. Additional responsibilities include vendor coordination, facilities support, and ensuring compliance with corporate administrative policies and procedures.

Work Environment: Onsite – IMI at 7979 E Tufts Ave, Denver, Monday – Friday: 8:00am – 4:30pm. Opportunity to work remote on Fridays after training period. 
 

Pay Range: $24.00 - $27.00/hour

Within this range, individual pay is determined based on skills, experience, and qualifications relative to the job requirements. Base pay information is aligned with market location and may be subject to prevailing wage laws, if applicable. 

 
Key Responsibilities

  • Event & Meeting Coordination: Plan and execute logistics for Town Halls, trainings, conferences, and other site-wide meetings.
  • Travel & Expense Administration: Manage T&E card setup and changes in Concur; prepare expense reports on behalf of employees; assist new hires with company credit card requests; and coordinate global air and ground travel through Egencia.
  • Onboarding & Access Management: Support new hire onboarding by scheduling meetings and coordinating activities; issue building access badges and manage the employee parking pass program.
  • Office Operations: Maintain inventory and reorder office and kitchen supplies; respond to emails and voicemails promptly; and manage vendor relationships as needed.
  • Administrative Support: Answer and screen phone calls and visitors; organize digital and physical files, including within Microsoft Teams; and ensure timely communication across departments.
  • Reporting & Special Projects: Compile, analyze, and prepare data for reports, presentations, manuals, and procedures; support ad hoc projects and assignments as requested.
  • General Duties: Perform other administrative and operational tasks as assigned to support the overall efficiency and effectiveness of the site.

Critical Competencies for Success

  • 3+ years of experience in an administrative or office manager role highly desired. 
  • High school diploma or equivalent required. 
  • Strong interpersonal, verbal and written communication skills
  • Project managment skills highly desirable
  • Experience with Microsoft Office (Excel, Outlook, Powerpoint) and Concur preferred
